Invite your employees

Four ways to get your people onto CHOYS: your company access code, a bulk upload, individual invites, and letting people join from an approved email domain.

Getting people in is the first job. CHOYS gives you a few routes, and most organisations use more than one — a bulk upload to start, then a code for anyone who joins later.

Share your company access code

Your organisation has an access code. Employees enter it during sign-up, which is what connects their new account to your company's programme and benefits. Put it in the welcome email from HR, on your intranet, or on a poster in the office — wherever people will actually see it. Employees can also find and share the code from the Refer and Earn screen once they are in.

Bulk upload a CSV

If you already have a list of the people who should be on CHOYS, upload it rather than typing it. Export your list from your HR system, check the columns match what the portal asks for, and upload. Bulk upload is the quickest way to launch to a whole company at once.

Invite people individually

For new starters and one-offs, add the person directly from the Organisation section rather than running another upload.

Allow your email domains

CHOYS accounts are built around work email, because that is what ties an account to your organisation. Setting your allowed email domains means someone signing up with an address at your company is recognised as yours — and someone with a personal address is not.

Decide whether to require approval

You can require an administrator to approve new sign-ups. With approval on, someone who signs up lands on a "Waiting for approval!" screen and gets access once you approve them. With approval off, they go straight in and are welcomed with their first CHOYS Coins and XP.

What happens without a code

Employees who do not have your access code to hand can still sign up and start exploring straight away by choosing "I don't have access code". If your company requires a code, they will see a countdown banner on Home and a Verify your company task in their Next Steps, and they have seven days to enter it. Expect a handful of people to ask you for the code in that window, so keep it somewhere easy to point them to.
